HeadshotsByAI Refund Policy

At HeadshotsByAI, we want you to feel confident in your purchase and satisfied with your results. Because our service delivers custom AI-generated digital content that cannot be returned, this policy is designed to be fair to both our customers and our business.
1. Refund Eligibility Window
You may request a full or partial refund, or a gallery redo, within 7 days of your gallery being generated.
Refund requests must be submitted through support using the same email address associated with the order.
2. Downloaded or Favorited Images
Once images have been downloaded or favorited, they are considered accepted.
- Downloading your gallery indicates satisfaction with the delivered product.
- Favoriting one or more images indicates that the service has successfully produced images you value.
AI headshots are not guaranteed to be perfect in every image. Our goal is to deliver at least one or several images you’re happy using professionally. Favoriting an image confirms that this goal has been met.
Orders with downloaded or favorited images are no longer eligible for refunds.
3. AI Output Variability
AI-generated results depend heavily on the quality of the uploaded photos. Output may vary based on:
- Image resolution and clarity
- Lighting conditions
- Facial visibility and angles
- Background complexity
- Expression and pose variety
For best results, please follow our upload guidelines carefully.
4. Gallery Redos & AI Edit Credits
Before issuing a refund, we may offer:
- A gallery redo, or
- Complimentary AI Edit credits to refine lighting, background, expression, or styling.
Our goal is to help you achieve results you’re happy with whenever possible.
Important:
If you accept a gallery redo or complimentary AI Edit credits, this support resolution replaces refund eligibility for that order. Once a redo or credits are applied, the order is no longer eligible for a refund.
5. Repeat Refund Requests & Abuse Prevention
To maintain fairness for all customers, HeadshotsByAI reserves the right to decline refund requests in cases where:
- A previous order has already been refunded as a courtesy
- Multiple refund requests are made from the same account
- A new order is placed after a refund has already been issued
- There is evidence of misuse or abuse of the refund system
If a customer chooses to place a new order after receiving a refund on a prior order, that subsequent purchase may not be eligible for refund.
We reserve the right to limit, suspend, or terminate accounts that demonstrate patterns of refund abuse.
6. Accidental or Duplicate Payments
If you accidentally place duplicate orders, please contact support immediately. Verified duplicate payments may be refunded.
7. Final Decision
All refund decisions are made at our discretion after reviewing order history, usage activity, and fulfillment status.
